This article contains helpful information to make sure that other servers or networks do not mark your email as spam.

Use Email Authentication

DKIM and SPF

DKIM (Domain Keys Identified Email) and SPF (Sender Policy Framework) authentication can help verify that email comes from a trusted sender.

DKIM

DKIM is a validation system that detects email spoofing by verifing the sender and integrity of a message. When DKIM is enabled in your cPanel account the mail server inserts a digital signature in your outgoing email messages that corresponds to the public key in your domains DNS record.

It allows an email system to prove that spammers did not alter an incoming message while in transit (forgery).

AlpineWeb's mail servers are enabled to check for and verify DKIM signatures when they are present. This allows your incoming AlpineWeb mail server to check whether an incoming email message is authorized by the sending domain's mail server and DNS record. DKIM verifies that the email messages your domains receive come from the specified domain.

SPF

SPF DNS records list IP addresses that are authorized to send mail from your domains. SPF attempts to deny spammers the ability to deliver email when they forge your domain’s name as the sender (spoofing).

If an email message uses a falsified sender addresses, SPF uses the DNS record for the sender's domain to detect the modification in the email's header. SPF verifies that email messages originated from the listed server, which reduces the amount of backscatter that you receive.

Spam and other networks

If email networks such as Gmail™, Yahoo, or Outlook mark your server's email as spam, you must identify the reason and resolve the problem. If you have recently resolved an issue with spam from your domain or you received a new IP address which previously sent spam, you must notify the remote network. Make certain that you review the bulk sender policy of large email networks.

Bulk email best practices

We recommend that you adhere to the following best practices when sending email to lists of users:

  • Use the same IP address to send all bulk email.
  • Use the same email address in the From: header of your emails.
  • Ensure that your email complies with RFC 5322.
  • If your email uses HTML, ensure that it complies with HTML standards.
  • Ensure that the contents of your email relate to the subject of your email.
